The CleanScan facility dashboard gives you a single place to see everything happening across your building — what’s open, what’s been resolved, who did what, and whether your service standards are being met. This page walks through each section of the Active Building dashboard and what you’ll find there.Documentation Index

Dashboard sections
Overview
The Overview is your home screen. It shows a facility health summary at a glance: how many issues are currently open, which zones are flagged, and a chart of activity over the past 7 or 30 days. Use it to answer the immediate question before anything else — “what needs attention right now?”- Active issues — count of open issues across all zones, grouped by priority
- Zone status — a grid of your zones, each showing clean, active issue, or no recent activity
- Activity charts — issue volume, resolution times, and scan activity over time
Issues
The Issues section is a full list of every reported problem in your facility. Filters let you narrow by zone, status (open, in progress, resolved), category, date range, and priority. Click any issue to open its timeline. Every issue shows the complete sequence of events from first report through resolution:- Reported — when the submission came in, from which zone, and from which tag
- Notified — when the assigned team was alerted and on what channel
- Resolved — when the issue was closed, by whom, and what proof was attached
Zones
The Zones section shows your facility’s physical layout as a hierarchy. Each zone entry displays:- Open issues — current open issue count for that zone
- Last clean logged — timestamp of the most recent cleaning log in that zone
- Rating trend — recent visitor rating scores, averaged over time
Tags
The Tags section is your physical tag inventory. Every QR sticker and NFC chip tied to your facility is listed here, along with its zone assignment, last scan timestamp, and status. From this section you can:- Assign a tag to a zone — link a tag code to a specific zone
- Generate QR codes as a PDF — select one or more tags and export a printable PDF, customized with your facility branding
- Order hardware tags — request physical NFC/QR tags to be shipped to you (available on paid plans)
- Replace a damaged tag — generate a new tag that inherits the old zone assignment and deactivates the old code
People
The People section covers your internal teams and their members — the staff who resolve issues, log cleans, and respond to alerts from within your own organization. Add team members here by name and phone number. They’ll receive an SMS to set up their access. This section does not manage contractor workers. Contractor teams are configured separately through the Contractors section.Contractors
The Contractors section shows every service relationship your facility has established. Each contractor entry shows:- Scope — which zones and issue categories they’re responsible for
- Performance summary — SLA compliance rate, average resolution time, and proof submission rate
- Proof gallery — all resolution photos submitted by that contractor, browsable by zone and date
Reports
The Reports section contains exportable analytics summaries and scheduled PDF digests. These are rolled-up views — not individual issue records, but aggregated data: issue volume by zone, resolution time trends, contractor performance summaries, and visitor rating scores. You can schedule email digests (daily or weekly) to be delivered to your inbox automatically.Settings
The Settings section covers your facility profile, billing, notification preferences, and branding configuration. From here you can update your facility name and address, manage your subscription, configure which events trigger SMS or email alerts, and customize the appearance of your public-facing scan pages.Client Portal vs Active Building
If your facility was set up by a contractor and you’re on the free Client Portal, you see a simplified version of the dashboard: Reports, Contractor Profile, and Settings. You don’t manage zones, tags, or issue categories — your contractor handles operations on your behalf. You can upgrade to Active Building at any time to take full control of your facility’s zones, tags, routing, and analytics. All existing data — reports, issues, and proof photos — is preserved when you upgrade.
