CleanScan’s reporting tools give you a rolled-up view of how your facility is performing over time — beyond the live issue feed. This page covers the Reports section, what data is available, how to use it, and how to export what you need for audits, contract reviews, or internal reporting.

The Reports section

Reports are distinct from individual issue records. They are aggregated views: issue volume by zone, resolution time trends, contractor performance summaries, visitor rating scores over time. Think of the Reports section as your analytical layer — what the data means in aggregate, not just what happened in any single incident. You access Reports from the left navigation in your facility dashboard. The available views include zone health trends, contractor performance, and rating summaries. Zone health trends let you track how each zone is performing over time across three dimensions:
  • Issue volume — how many issues were reported in that zone in a given period
  • Resolution time — how quickly issues in that zone were resolved on average
  • Rating scores — visitor ratings for that zone, averaged by week or month
Use this view to identify zones that are consistently generating issues. A zone that appears repeatedly in your top issues list over multiple weeks signals a systemic problem — not a one-off event.

Pattern insights

CleanScan surfaces patterns across zones, time windows, and contractors. The goal is to help you identify structural problems early enough to fix the system, not just respond to individual symptoms. You might see that the same zone generates a Mess/Spill issue every Monday morning, or that resolution times spike on weekend shifts, or that a specific contractor’s proof submission rate dropped in the last 30 days. These patterns are calculated automatically and surfaced in the Reports section.

Contractor performance

The contractor performance view shows SLA compliance and resolution quality for each contractor connected to your facility:
  • SLA compliance rate — percentage of issues responded to and resolved within your defined targets
  • Average resolution time — across all issues handled by this contractor in your facility
  • Proof photo submission rate — percentage of closed issues where the required proof was attached
This data is useful for structured contract reviews and for identifying which service relationships are meeting your standards and which aren’t. The proof gallery is a browsable collection of all resolution photos submitted by contractors and internal teams across your facility. You can filter by:
  • Zone — see all proof photos from a specific area
  • Contractor — see everything submitted by a particular service relationship
  • Date range — narrow to a period relevant to an audit or review
The proof gallery is the fastest way to pull visual evidence for an audit, a client presentation, or a dispute. Every photo is timestamped and linked to its resolution event.

Email digests

You can configure scheduled email summaries — daily or weekly — delivered to your inbox automatically. Each digest shows:
  • Activity summary (scans, issues opened, issues resolved)
  • Current open issues by zone
  • Resolution stats for the period
Configure digests from Settings → Notifications. You can set the frequency and which email address receives them.

Visitor ratings

Occupants submit 1–5 star ratings when they scan a tag in any zone. These ratings are anonymous and require no login. Rating data is aggregated per zone and across your facility, and is visible in the Reports section as a trend over time.
The most reliable signal for identifying a chronic problem zone is the combination of high issue volume and low visitor ratings in the same zone over the same period. A zone generating frequent issues might have an easy fix. A zone generating frequent issues and consistently low ratings is telling you that the problem is noticed and it’s affecting the experience — which means it’s the highest-priority area to address.

Exporting reports

Reports can be exported as PDF. Use PDF exports for:
  • Client or leadership presentations
  • Internal review meetings
  • Audit documentation
  • Contractor performance reviews
To export: open the report view you want, set the date range, and click Export PDF. The export captures the charts and tables visible in the current view.
